How to sync TikTok Shop sales with Finaloop

1. How Finaloop’s TikTok Shop Integration Works

TikTok Shop has always been a black box when it comes to financial transparency since your payouts from TikTok Shop don’t typically reconcile back to your orders.

Finaloop gives you 100% visibility into all of these adjustments and fees so your financials are always fully reconciled back to your TikTok Shop statements.

Here is how it works:

  • Automatic syncing: Finaloop pulls your TikTok Shop transactions and syncs every few hours for real visibility.

  • Clean mapping: We map TikTok data into standard ecommerce accounting categories like sales, discounts, shipping, COGS, and fees.

  • Accrual vs. cash basis: Whether you manage your books on an accrual or cash basis, Finaloop handles the timing differences between order activity and payout deposits.

We'll work you through how to connect TikTok Shop to Finaloop and how each data point from TTS is mapped into Finaloop.


2. How to Sync TikTok Shop with Finaloop

Connecting TikTok Shop to Finaloop takes just a few minutes.

In Finaloop:

  1. Go to Settings in your Finaloop menu.

  2. Click the Integrations tab.

  3. Under the Stores section, click on TikTok Shop.

  4. Click Connect and follow the prompts to connect your TTS account.

  5. Then head to TikTok Shop Seller Center and follow the instructions below.

In TikTok Shop Seller Center:

  1. Go to Account Settings → User Management.

  2. Click Add User.

  3. Fill in the following details so we get the access to ensure your numbers are fully reconciled:

    • Role(s): Finance Specialist + Order Fulfillment Specialist + Product Management Specialist + Customer Service Agent

    • Email address: accountant+{yourcompanyname}@finaloop.com (Example: [email protected]).

    • Default language: English.

  4. Click Submit.

Once connected, we’ll start syncing your TikTok Shop data automatically. Your first sync may take a few minutes depending on your account size.


3. Managing TikTok Shop Orders in Finaloop

All synced TikTok Shop orders appear on the TikTok Shop Orders page in Finaloop.

Here you can:

  • Track payment status, settlement status, and fulfillment status.

  • Click into any order to see the order details:

    • View the products included in the order.

    • You can also review discounts and taxes details in the tooltips.

4. TikTok Shop Accounting

The way orders flow from TikTok Shop depends on whether you use cash basis or accrual basis accounting.

Accrual basis

On an accrual basis, sales are recognized when an order is fulfilled. Unpaid orders flow into Accounts Receivable (A/R) until the order is paid.

  • Order created: Deferred revenue is recorded in your Balance Sheet until the order is fulfilled. An open balance is also created in your Accounts receivable (A/R) - TikTok Shop account.

  • Payment received from customer: We automatically mark the order as Paid (or Partially paid). This reduces your Accounts receivable (A/R) - TikTok Shop balance and increases your UDF - On Hold account (i.e., TikTok still owes you the funds) until the payment is settled.

  • Order fulfilled: Finaloop recognizes sales, shipping income, discounts, tips, and sales tax and reduces your deferred revenue upon fulfillment. At the same time, we record COGS and reduce your inventory.

Cash basis

On a cash basis, sales are recognized when a payment is collected even if they aren’t fulfilled yet.

  • Order created: Appears in your TikTok Shop Orders page but no P&L or Balance Sheet impact.

    • 💡Note: On a cash basis, unpaid orders don’t create Accounts Receivable in your books.

  • Payment received from customer: Sales, discounts, shipping income, and taxes hit your P&L on the payment date. Finaloop automatically matches the payment to the order and marks it as Paid.

  • Order fulfilled: COGS are recorded and inventory is reduced once the order is fulfilled.

    • 💡Note: On a cash basis, sales follows the timing of the payments but COGS follows the timing of fulfillment. This means a timing difference between sales and COGS may occur.

  • Eliminates the need for manual spreadsheets.

Here’s how it works:

Each TikTok Shop Statement is made up of two components:

  • Settlement amount

  • Reserve amount

Each statement: Settlement amount + Reserve amount = Payable Amount

TikTok Shop statement

Settlement amount includes all settlements for orders in that specific time period and any additional adjustments. It’s broken down as:

  • Net sales

  • Shipping

  • Fees

  • Adjustments (these are not always tied to a specific order, like FBT warehousing service fee and marketing benefits package fee. They only get applied on the statement date).

To find your TikTok Shop Reconciliation Report:

  1. Go to More in your Finaloop menu.

  2. Click TikTok Shop Reconciliation Report.

The report has 3 sections. Click Show breakdown to see all the details.You can also toggle on the Show more details toggle to see the data broken down into more granular categories, like net sales, shipping, fees, and adjustments.

​Section 1: Finaloop books

  • This section takes the total settlement amount, reserve amount, and payable amounts from TikTok Shop and shows how the amounts are broken down in your Finaloop accounts.

  • It shows each of the P&L line items in your Finaloop books that contain TikTok Shop data.

💡 For accrual users, you’ll see Accrual timing adjustments as the final line item to account for recognition differences since your TikTok Shop data is not based on accounting principles.

Section 2: Finaloop vs TikTok Shop Comparison

  • This section shows total Finaloop numbers compared with TikTok Shop numbers. If everything is reconciled, you should see a row of green checks. If there is any issue, we’ll identify it and fix it.

Section 3: TikTok Shop

  • This section shows synced numbers for each statement directly from TikTok Shop Seller Central.

  • You’ll also find the corresponding statement links to check them out directly in TikTok Shop.

  • Cash basis: A refund will not reverse the order, but instead will increase your Refund account in your P&L.

  • Accrual basis: Treated as a cancellation and reverses the order, decreasing Deferred Revenue. No actual Refund is recorded, i.e. no impact on your P&L.

Refund initiated after fulfillment

  • Refund recorded in your P&L for both cash and accrual basis.

  • Sales and Discount accounts are not impacted, but the refund will be recorded for the full item price, reducing net sales.

  • Note: Refunds & returns don’t impact COGS unless an item is reported as “Restocked.” (Learn how to report an item as restocked here for sales based, or here for InventoryIQ.)

Refund account may also include Logistics or platform reimbursements.

7. TikTok Shop Inventory, Product Samples & Order Giveaways

  • Fulfilled by TikTok (FBT) vs. Fulfilled by Merchant (FBM)

  • Which warehouse was used

  • Associated fulfillment costs

When an order is fulfilled, Finaloop automatically:

  • Records COGS for the order (for sales based and InventoryIQ users),

  • Reduces inventory value

  • Updates warehouse data (InventoryIQ only)

Product Samples and Order Giveaways

Free product samples or giveaways to influencers, affiliates, or customers are automatically recorded as marketing expenses under Product giveaways, not as sales or discounts.

If an order is marked as a free sample in TikTok and we see the customer hasn't paid anything, we automatically classify it as a product giveaway.

You can find these orders on the TikTok Shop Orders page, and click on FilterOrder statusGiveaway.

We sync this data automatically, with no manual input needed from you.

For sales based and InventoryIQ users, you can also track this data for each SKU by heading to Inventory Products and on the small COGS tab, you’ll see a section called Product giveaways.

Voided or Cancelled Orders

If an order is cancelled and no payment was ever received, the order will automatically be marked as Voided. You'll still see it in your Orders page but it won't have any impact on your books.

Shopify syncs the overall sales numbers and seller’s discount numbers for each order but TikTok Shop often applies other types of discounts, such as platform discounts or co-funded discounts. These can impact the settlement amounts as well and Shopify doesn’t have the same granular visibility into these components. In addition, Shopify syncs order level data but misses the statement level adjustments that also can impact settlement amounts.
